How to give event staff instant check-in access (no login required)
Staff Check-In Links let you give volunteers, door staff, or ticket scanners instant access to your event's check-in page — no Ticket Falcon account or login required. You generate a secure, one-time-use link from your Event Dashboard and share it directly with your staff.
How to generate a Staff Check-In Link
- Log in to your Ticket Falcon account and go to My Account → Manage Events.
- Click Event Dashboard for your event.
- Near the top of the page, click ⚡ Staff Check-in Links.
- The Staff Check-In Links panel opens.
- In the Label field, enter a name to identify this link — for example, Front Door, VIP Entrance, or Volunteer #3.
- Click Generate Link.
Your new link appears in the list below.
Optional settings
Custom start & end times By default, a check-in link is valid for the duration of your event. Click ▸ Custom start & end times to restrict access to a specific window — useful if you want a link to only work from 6:00 PM to 10:00 PM on event night.
PIN protection 🔒 Check Require PIN and enter a 4–6 digit numeric PIN. Anyone who opens the link will be asked to enter the PIN before they can access check-in. Share the PIN verbally or via text — keep it separate from the link itself for security. PINs are stored encrypted and cannot be viewed after they are set; you can always edit a link and set a new PIN.
Sharing a link
Click Copy next to any link in the list to copy it to your clipboard, then send it to your staff member via text, email, or WhatsApp. The recipient opens the link on their phone or tablet and immediately has check-in access for your event.
Managing your links
From the Staff Check-In Links panel you can:
- ✏️ Edit — Change the label, update the PIN, or modify the custom time window.
- 🗑 Revoke — Permanently disable the link. Anyone currently using it will be locked out immediately.
Frequently Asked Questions
How many links can I create? You can create as many links as you need — one per staff member or one per entrance checkpoint.
Can I use the same link for multiple people? Yes. A link can be opened on multiple devices at the same time, so you can send one "Front Door" link to all three people staffing that entrance.
Do links expire on their own? Links do not expire automatically unless you set a custom end time. Revoke a link manually if you want to deactivate it after the event.
Is it safe to share a link without a PIN? Links are long, randomly generated, and event-specific. For extra security, especially for high-value events, enable PIN protection before sharing.
