How to create and assign a check-in only role for event staff

Need staff or volunteers to manage guest check-in at your event without giving them full access to your Ticket Falcon account? The Check-in Only role is designed specifically for this purpose. This limited-access role ensures your team members can efficiently manage attendee entry using the check-in system but cannot access other event management settings, financial data, or attendee information beyond what's needed for check-in.

Purpose of the Check-in Only Role:

  • Allows designated users to check attendees in.
  • Allows designated users to check attendees out (if applicable).
  • Restricts access to all other event management features and sensitive data.
  • Enhances security by limiting data exposure to essential personnel.

How to Create and Assign the Check-in Only Role:

Follow these steps to set up check-in access for your team members:

  1. Log in to your Ticket Falcon account as the Event Organizer.
  2. Navigate to the Manage Teams section of your account dashboard.
  3. Select the team member you want to grant check-in access to. (If the person isn't already a team member, you may need to add them first).
  4. Find the role assignment options for that team member and select the Check-in Only role.
  5. Assign Event Access: Choose which specific event(s) this team member needs check-in capabilities for. You can select:
    • Specific Events: Grant access only to one or more selected events.
    • All Events: Grant access to all current and future events managed under your account.
  6. Save the changes for the team member's role and event access permissions.

Using the Check-in Only Account:

  • The team member can now log in using their own credentials associated with your Ticket Falcon team.
  • Their view will be restricted solely to the check-in/check-out interface for the events they've been granted access to.
  • Importantly, the credentials for a user with the Check-in Only role can be logged in on multiple devices simultaneously. This allows for flexibility at your event entrance, enabling several check-in points using the same limited-access profile if needed (though assigning roles to individual team members is often recommended for accountability).
