How to check-in attendees with a QR code scanning device

This article outlines how to use a QR code scanning device to quickly and efficiently check-in attendees for your event.

Using the QR Code Scanning Feature

Our platform features a dedicated QR code scanning interface for those managing check-in. Here's how to use it:

  1. Navigate to the Check-in Page: Access the section of our platform where you manage attendee check-in. Click on the QR code in the upper right hand corner.
  2. Click on "Check-In by QR Code" button: This will activate the QR code scanning modal.
  3. Locate the QR Scanner Icon: On the check-in screen, you will find a specific icon (e.g., a QR code symbol or a scanner icon). Click this icon to activate the QR code scanning modal.
  4. The QR Scanning Modal: A pop-up window will appear, ready to receive input from your QR code scanner. You may need to tap on the input field to start accepting scans.

Connecting Your QR Code Scanner

Our system is compatible with both wireless (Bluetooth) and wired (USB) QR code scanners.

  • Bluetooth Connection:
    1. Ensure your Bluetooth scanner is powered on and in pairing mode. Refer to your scanner's manual for instructions on how to initiate pairing.
    2. On your check-in device (mobile device, laptop, or tablet), ensure Bluetooth is enabled.
    3. Locate and select your QR code scanner from the list of available Bluetooth devices to establish a connection.
    4. Once connected, the QR scanning modal should automatically recognize input from your scanner.
  • USB Wired Connection:
    1. Connect the USB cable of your QR code scanner directly to a USB port on your check-in device (laptop or tablet).
    2. In most cases, wired scanners will be automatically recognized by your device and the QR scanning modal. You may need to ensure any necessary drivers for your scanner are installed on your device (refer to your scanner's manual if needed).

Scanning QR Codes for Check-in

Once your QR code scanner is connected and the QR scanning modal is open:

  1. Present the Attendee's QR Code: Ask the attendee to present their event ticket or confirmation containing the QR code. This could be displayed on their phone screen or a printed ticket.
  2. Aim the Scanner: Position the scanner's beam or camera towards the attendee's QR code.
  3. Automatic Scan and Check-in: The scanner will automatically read the QR code. Upon successful scan, the system will instantly identify the attendee and mark them as checked-in. You will see a confirmation message on your mobile device, tablet or laptop. If there are multiple attendees associated with the order, you will be able to check them in as well for a faster check-in process.
  4. Proceed to the Next Attendee: Once an attendee is checked in, the system will be ready for the next scan.

Troubleshooting Tips:

  • Scanner Not Connecting (Bluetooth): Ensure Bluetooth is enabled on both your scanner and check-in device. Try unpairing and re-pairing the devices. Check your scanner's battery level.
  • Scanner Not Reading Codes: Ensure the QR scanner is clear and not damaged. Try adjusting the distance and angle between the scanner and the QR code. Check if your scanner is configured to read the specific type of QR code being used.
  • No Confirmation After Scan: Ensure your check-in device has a stable internet connection.
