How to assign a seating chart to an event?

Ticket Falcon allows event organizers to utilize reserved seating to offer attendees specific seat selections or designated areas within a venue. If you have created or plan to create a seating chart for your event, you can easily assign it within the event creation or editing process.

Here's a step-by-step guide on how to assign a reserved seating chart to your Ticket Falcon event:

1. Create/Edit Event:

When setting up a new event, you can navigate to the "Create Event" page or go to your "Manage Events" section, select the desired event, and choose "Edit Event."

2. Select "Reserved Seating" as the Seating Assignment:

On the create/edit event page, locate the "Seating Assignment" section. From the available options, select "Reserved Seating."

3. Choose Your Seating Chart from the Dropdown:

Once "Reserved Seating" is selected, a dropdown menu displays your available seating charts.

  • Selectable Charts: Only reserved seating charts that have successfully passed validation checks within the Ticket Falcon system will appear as selectable options in this dropdown.
  • Disabled Charts: If a seating chart has validation errors, it will be listed in the dropdown under a section titled "Disabled - Fix Seat Validation Errors." You will need to resolve these errors in the seating chart designer before you can assign it to your event.

You can click on the name of the validated seating chart you would like to assign to your event.

4. Save Your Event:

After selecting your seating chart, proceed to save the event details.

5. Create Your Ticket Types (with Reserved Seats First):

With the reserved seating chart assigned and the event saved, you can now create your ticket types. It is important to prioritize assigning reserved seats to your initial ticket types. These tickets correspond directly to specific seats (seating categories) defined in your seating chart.

Begin by creating ticket types for your reserved seating areas (e.g., " orchestra front," "balcony seating," " VIP table"). You will link these ticket types to the corresponding sections or individual seats within your assigned seating chart.

Once you have created and assigned tickets for all of your reserved seating areas, you can proceed to create other types of tickets, such as general admission, donation, or raffle tickets, which do not require a specific seat assignment from the chart.

Including General Admission Areas within a Reserved Chart:

It is important to note that your reserved seating chart can include designated general admission areas. These areas are defined on the seating chart with a set capacity, but attendees purchasing tickets for these areas will not be assigned a specific seat number. Instead, they will select the general admission area on the seating chart during the purchase process, similar to how they would for events like plays, concerts, or galas with a mix of reserved and general admission sections. You will create separate ticket types specifically for these general admission areas within your reserved seating event.

By following these steps, you can successfully assign a reserved seating chart to your Ticket Falcon event and begin selling tickets with specific seat selections or for designated areas.
