How to check-in to an event

Please review the following check-in methods and best practices to ensure a quick and easy entry.

Understanding Ticket Buyer vs. Attendee

It's helpful to understand the difference between a ticket buyer and an attendee:

  • Ticket Buyer: The person who initially purchased the ticket(s) through Ticket Falcon manages the tickets and can share them with others. Ticket buyers can also view the tickets they purchased within the Ticket Falcon app.
  • Attendee: This is the individual who will be attending the event. An attendee may or may not be the original ticket buyer. They possess a valid ticket (purchased directly or received from someone else). Attendees will not see tickets for events they are attending within the Ticket Falcon app unless they are also the ticket buyer.

How to Check In to Your Event

There are several convenient ways to check in to your Ticket Falcon event:

1. Presenting Your Ticket Confirmation (Digital or Printed)

  • How it works: The ticket buyer receives a confirmation email after purchasing tickets. This confirmation contains a summary of the purchase and a PDF attachment with the ticket(s) or a link to access them. The ticket buyer can then:
    • Show the entire confirmation email: This works, but for the fastest entry, it's best to have the individual ticket(s) readily accessible.
    • Share individual tickets via email or other methods: The ticket buyer can forward the individual ticket email (containing a QR code) to each attendee.
    • Print the ticket(s): A printed copy of the ticket with the QR code can be presented for scanning.
    • Show tickets via the Ticket Falcon My Tickets page: If you are the ticket buyer, you can display your ticket(s) from any device via your web browser.
    • Display tickets within the Ticket Falcon App (Ticket Buyers Only): If you are the ticket buyer, you can open the Ticket Falcon app on your mobile device and display the ticket(s) for scanning. Links to download: iOS and Android.
  • Best Practices:
    • Attendees, ask the ticket buyer to share your individual ticket with you in advance. This is the most efficient method.
    • Take a screenshot of digital tickets for easy access, especially if you anticipate limited internet connectivity at the venue.
    • If presenting a printed ticket, ensure it is clear and undamaged, especially the QR code.
    • Ticket buyers using the app, ensure the app is open and the ticket QR code is clearly visible on your screen. Increase screen brightness for easier scanning.

2. Providing Your Name and Valid Identification (If Allowed)

  • How it works: Some event organizers may offer the option to check in by providing your name at the registration desk. This typically requires a valid photo ID (driver's license, passport, etc.) to verify your identity against the attendee list.
  • Important Notes:
    • Whether or not this method is available is based on the event organizer's preference. Not all events offer name-based check-in.
    • Be prepared to show valid photo identification.
    • This process might take slightly longer than scanning a ticket, especially during peak arrival times.
  • Best Practices:
    • Check the event details or pre-event communications to see if name-based check-in is an option.
    • Have your valid photo ID ready when you approach the registration staff.

3. Scanning Your Ticket QR Code

  • How it works: Each valid Ticket Falcon ticket has a unique QR code. Event staff may use scanners to quickly verify the code for your entry. This QR code can be presented digitally (on a phone) or on a printed ticket.
  • Best Practices:
    • Have your digital or printed ticket with the QR code readily available.
    • Increase the brightness of your phone screen if presenting a digital ticket.
    • Ensure your phone screen is clean and free of cracks that might obstruct the scan.
    • If using a printed ticket, ensure the QR code is not folded or damaged.

4. Using Facial Recognition (If Enabled and You Opted In)

  • How it works: If the event organizer has enabled facial recognition and you choose to opt into this feature during the ticket purchase or registration process, you can check in by simply looking at the designated scanning device. The system will recognize your face and grant you entry.
  • Important Notes:
    • This method requires prior opt-in. You cannot use facial recognition if you did not explicitly agree to it.
    • Follow the instructions provided by event staff when using facial recognition. Ensure your face is visible to the scanner.
  • Best Practices:
    • If you opted in, be prepared to look directly at the facial recognition scanner.
    • Remove any items that might obstruct your face, such as hats or sunglasses, when approaching the scanner.

General Best Practices for Smooth Check-In:

  • Arrive a little early: This will help you avoid long lines, especially during peak entry times.
  • Have your preferred check-in method ready: Before you reach the check-in area, decide how you will present your ticket or ID.
  • Communicate with the ticket buyer: If you are not the ticket buyer, ensure you have received your individual ticket or confirmation in advance. Remember, if you are an attendee who did not purchase the ticket, it will not appear in your Ticket Falcon app.
  • Follow instructions from event staff: They are there to help ensure a smooth and efficient check-in process for everyone.
  • Be patient and courteous: Large events can sometimes have brief delays. Your understanding is appreciated.
